SHRM Coordinator, Foundation in Alexandria, Virginia
The SHRM Foundation is a values-based charity organization whose mission is to champion workforce and workplace transformation. It provides research-based solutions for challenging inclusion issues facing current and potential employees, scholarships to educate and develop HR professionals and opportunities for HR professionals to make a difference in their local communities. The SHRM Foundation Coordinator is responsible for the critical administrative functions and internal/external coordination activities supporting the SHRM Foundation’s executive director, programs and development functions. Responsibilities consist of providing support for program and scholarship administration, providing support for student initiatives and Foundation events, providing critical administrative support to the development function related to donor outreach and stewardship, development and coordination of contracts, MOUs and invoicing, coordinating Board meetings including preparing materials, scheduling committee calls, maintaining accurate records and leading logistics, and providing administrative support to the development function. Other duties include overall administrative and professional support; information and guidance for inquiries via telephone, email and in person; positive and effective external relations; and support for Board members.
Assumes and performs administrative duties, including offering top-notch customer service for a wide range of stakeholders, answering inquires and general questions in regard to SHRM Foundation via email, phone or in person, and managing the office by maintaining office supplies and equipment.
Coordinate Board meetings and committee calls/meetings including planning and arranging meeting logistics, notifying attendees and tracking RSVPs, and assist with preparation and distribution of Board of Trustee meeting materials.
Supports the department with scheduling meetings and conference calls; plans staff travel, including accommodations and transportation; registers staff members for conferences; prepares expense reports; and maintaining annual Foundation memberships, subscription renewals, and conference sponsorships.
Support program and scholarship administration with; participant and metrics tracking, reports, online systems and external relationships; administering grant and award application processes and online system/database.
Manage a wide range of development administrative projects including moves management review with portfolio preparation and tracking and entering donor data in CRM systems. Assist with the execution and development of donor communications including acknowledgement, outreach and stewardship communications.
Contributes to program research and general program administration.
Organizes and maintains filing systems, and defines, simplifies and find efficiency in office processes and procedures.
Tracks all expenses against budget allocations for the department and provide monthly budget updates. Manage invoice payments and contracts processing.

High school diploma or equivalent
Three years of administrative experience in a corporate, association or foundation setting
Highly organized, with the ability to interface regularly with colleagues, foundation, corporate, and other partners
Superior written and oral communications skills
Ability to synthesize information from different sources quickly and efficiently
Strategic thinker with problem-solving skills
Commitment to collaborating and working across teams to advance common goals
Ability to work with a range of colleagues and handle multiple assignments
Excellent organizational, interpersonal and networking skills with large groups as well as with individuals
Ability to maintain a high level of poise and professionalism in all circumstances
Ability to initiate and build relationships with members, scholarship applicants and recipients, students, donors, and interact via telephone and in person with institutional representatives
Demonstrated ability to take primary responsibility for diverse number of projects and to complete them in a timely manner with limited supervision
Computer skills, including proficiency in Microsoft Word, Excel, PowerPoint as well as database.
