The Coordinator, Sales Administration position is an integral member of SHRM’s sales team initiatives. This position provides administrative support to external and internal customer department needs and provides exceptional customer care, logistical and operational support within one or more areas in the Sales organization, including but not limited to Exchange Visitor Program, Learning & Development, Sales, and Exhibits & Sponsorships.
Gather and maintain all pertinent information for new and incoming sales contracts
Perform a full range of administrative services, including scheduling meetings, drafting agendas, and preparing minutes for sales team meeting as requested
Assist with developing sales presentations, word documents, sales reports and other projects as requested
Serve as a budget liaison and assist with developing and maintaining annual budgets by serving as team point of contact
Develop and maintain an organized and accessible file system for administrative and sales professionals
Follow up with clients on the telephone for administrative purposes
Other duties as assigned
Department Specific Duties
Exchange Visitor Program
Process J-1 Visa applications, invoicing, revenue collection and reporting
Process amendment, extension and separate family applications submitted for sponsored programs
Learning & Development Program
Manage multiple spreadsheets
Ensure proper access, deadlines and communications are sent to participants and appropriate parties are informed of completed requests
Coordinates activities in various departments to ensure sales programs reach targeted customers in a timely and effective manner.
Coordinate logistic calls between client and instructor with salesperson
Exhibits and Sponsorship
Manage all aspects of exhibitor confirmation and invoicing process
Work closely with departments in developing and executing optimal customer experience, including a full understanding of the theme, show-look, and delivering first-class customer experience
High school diploma or equivalent relevant experience
At least two (2) years of experience in administrative, coordination and office work, and supporting projects.
Experience supporting sales teams, customer service, or meetings/conferences is a plus.
Superior verbal and written communication skills.
Proficient in Microsoft Office Suite (Excel, Power Point, etc.) and related software
Ability to compile, analyze, and communicate data.
Organized and detail oriented.
Excellent interpersonal skills.
Demonstrated customer care/customer experience skills and focus
Ability to prioritize, multi-task and meet critical deadlines
Enthusiastic, able to follow directions and work independently with limited supervision

Must be able to perform essential duties satisfactorily with reasonable accommodations.
Work is generally done sitting, talking, hearing, and typing. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.
Work is regularly performed in a combination of office and conference settings and routinely uses standard office equipment.
