Under the direction of the Director, Event Management & Logistics, the Specialist, Event Production is responsible for providing full production and technical platform support for each of SHRM’s major conference offerings, including our Annual Conference & Expo, specialty conferences, and other hybrid meetings and events reaching between 100 – 25,000 people annually. The specialist has a strong understanding of the events and conference industry for both in-person and virtual events, including audio-visual management best practices, mobile applications, and technical production. Organizes and builds solid relationships with internal and external partners to achieve SHRM brand and business goals.

Your Day:

  • Responsible for the execution of all audio-visual aspects and technical production specifications of SHRM events to set and maintain high quality standards.

  • Leads comprehensive run-of-show plan and timelines for each SHRM event.

  • Serves as day-of technical production lead, stage manager or back-of-house show runner.

  • Coordinates with agencies and vendors to bring to life creative concepts for staging, scenic elements and entertainment, as well as supports load in/out logistics at live events.

  • Partners with Manager, Virtual Event Innovation, and external partners to gather technical requirements and assets, and conduct pre-event testing and configuration on digital event platforms, websites, and mobile apps.

  • Partners with agencies and vendors to prepare and execute content plans for all audio-visual and technical support event components, including enhanced production elements, video content, mobile app build and integration, accessibility needs, accompanying graphics and more.

  • Organizes asset creation, collection, and implementation with Creative Services and Speakers Bureau; liaises with in-house and external videographers and photographers.

  • Partners with SHRM Speakers Bureau on Keynote speaker readiness, including technical needs and functionality checks, call times, any needed transfers or other rider or venue requirements, rehearsals, security coverage, hair and makeup, and more.

  • Collaborates with SHRM IT, Speakers Bureau and Accounting teams to support speaker, entertainer, AV/production partners’ registration.

  • Reviews and tracks budgets, audio-visual event orders, all related invoicing, and other analytics.

  • Other duties as assigned to support SHRM events.

Must Haves:

  • Bachelor’s degree in Event Management, Marketing, Communications, Theater, Broadcast Journalism, or equivalent relevant work experience/training

  • At least 3 years of progressively complex AV/event technology/production experience in a similar work environment, preferably with medium to large brand(s) or organizations.

  • Experience with events/conferences and/or arts and entertainment.

  • Demonstrated knowledge of technical event, theater, TV/video production.

  • Experience with virtual conferences and events.

  • Clear demonstration of successful project management.

  • Strong project management skills, organization and attention to detail.

  • Creative, strategic thinker and problem solver.

  • Ability to forge strong relationships with internal and external stakeholders at all levels.

  • Self-starter attitude, entrepreneurial spirit and ability to move quickly in a fast-paced environment.

  • Clear written and verbal communication and presentation skills.

  • Good judgment skills and adherence to deadlines.

  • Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, event management platforms, and mobile applications.

Physical Requirements

  • Must be able to perform essential duties satisfactorily with reasonable accommodations.

  • Work is generally done sitting, talking, hearing and typing. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.

  • Moderate lifting is required. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force to constantly move objects.

Work Environment

  • Work is regularly performed in a combination of office and conference settings and routinely uses standard office equipment.

  • This job requires moderate travel 20-30%.
